Case Study Overview - Event & Press Management

StarMom Pre-Grammy Brunch, February 2015

Problem:

Agency for Artists approached Rebelle Agency with the task of assisting in the production of a pre-Grammy brunch for mothers in and of the entertainment industry within four weeks of the intended event date. Some risks included:

  • competing with the plethora of other events during Grammy weekend
  • press & guest attendance due to the tight timeline and active weekend
  • logistical planning due to the tight timeline and intended aesthetic
  • confirming an honoree that believed in the mission due to it being the first brunch ever

Objective:

Our team believed in the mission of the event and was confident that it could be executed within the timeframe and risk factors. We decided to focus on the below objectives and tactics:

  • Organized logistics and timeline
  • Confirming a top photographer at Getty or equivalent to take photos (this way if press was not able to attend they would receive high-quality photos for post-event recap)
  • Connecting with network in Los Angeles for on the ground needs and assistance
  • An organized list of invitees and press that if applicable received personal outreach

Deliverables:

We measured success by guest attendance, the impact of the agenda and brunch activities on attendees, social media engagement, and press recaps. We received some highlight results including:

  • More celebrity guests in attendance than RSVPed (we prepared for this by planning ahead and having more tables than the RSVP could hold - this isn't always an option but worked out for this event)
  • 14 Million impressions of social engagement amongst our celebrity & press guests
  • Press recaps on Access Hollywood, Essence, LA Times, Necole Bitchie, CentricTV, The YBF & more
  • Named top 2015 Grammy weekend event on Examiner.com
